Automation Trigger “Card Movement”
A trigger-based in card movement is easy to set up and to use in your daily work. The most important: it will significantly change your productivity.
As you can check in this article, “How does automation work?”, in Legalboards you can automate three types of actions (Task creation, Send Email and, Move Card) following three steps: When, Filter, and Automate.
Card movement is one of the triggers you have to choose on the first step, “When”.
When you create an action with this trigger, you create like a watcher for the columns you set up, and all that happens in these columns, manually or automatically, will activate the action you set up in this automation.
First of all, let’s create your account in Legalboards. You don’t need a paid account to start to use. So, if you don’t have your account yet, click here and create your Legalboards’ account in a flash.
When you create a new automation for actions like Move Card, Send Email, or Task Creation, you can choose the trigger “Card Movement” in the first part of step 1 “When”.
After selecting this trigger, you need to choose the columns that represent the movement you want your card to do automatically.
Here you choose what column the card needs to belong to before moving. This selection it’s not mandatory, so when you decide to not select a column, automatically you are choosing the option “All Columns” that means independently which column the card belonged before, this action will only consider the new column for this card.
Attention: When you don’t determine a column to “Drag from” you must choose some column in the field: “Dropping to”.
The “Dropping to” option works in the same way: you need to choose which column a card will be placed, or you can select “All Columns”. Selecting this last option means that doesn’t matter which column this card will drop to. It only matters which column this card belonged to before.
Attention: When you don’t determine a column to “Dropping to” you must choose some column in the field: “Drag from”.
It’s easier than you thought. You only need to specify one of these two options (“Drag from” or “Dropping to”) to create a new automation with the trigger “Card Movement”. Now that you already know how to set up the first step with the trigger “Card Movement” you only need to set up the Filter and Automate this action.
Like I said in the beginning, this trigger does not work only for manual action to move a card. You can also use this trigger together with the action “Move Card”. Therefore, you won’t need to move one by one across the columns, you can create a chain of automation as well.
Underneath are some cases of uses of this trigger:
When the cards from the column “Property Settlement Agreement” move to the next column called “File for master, a new Task named “Review Draft” is created.
When cards from “All Columns” move to the column called “Engagement Letter & PP”, a new Task named “Create Draft Letter” is created.
General Workflow Board:
When a card lands on the “Billing” column, the same card will be created in a new board called “Accounting” and this cloned card will be placed on the column named “Waiting for approval”.
