Automation Action: Task Creation

An expressive part of the team leader’s work is to distribute and organize who, when, and how each part of the work needs to be done.

This work doesn’t need human action when you use Legalboards.io.

In this article, I will explain how you can use this action, describing each field you need to fill and how it works.

Get to work!
On the top of your board page, on the right, click in the magic icon called: “Automations for this Board” and choose the action: Task Create or Task Clio Create (if you use Clio Integration)

Now, we’re going to create a new automation. The first step is to select and set up the trigger, and the second step is where you can filter which type of cards you want to automate. You can know more about how automation on Legalboards.io works in this article

So, the final part is configuring the “who, when, and what” of your tasks. Let’s take a look at each field we have in this part of the automation:

 

Assignee: This is the most crucial field, and you have several options. Let’s examine them one by one.

Matter’s Responsible Attorney: When choosing this option, this task will be assigned only to the Matter Cards, which have a Responsible Attorney filled.

Matter’s Originating Attorney: When choosing this option, this task will be assigned only to the Matters Cards, which have an Originating Attorney filled in.

Matter’s Client: If this card has a client in Clio Portal, this task will be assigned to this person.
Attention: This option it’s only for Accounts with Clio Integration.

Card’s Members: The task will be assigned to anyone who is a member of this card.

You also have the option to specify who will be the fixed assignee for this task. You only have to choose one of your team members in any role, Admin, Members, or Viewers.

It is essential to say that in this “Assignee” field, you can choose how many options you need. Legalboards.io will verify who is a less busy option in the due date, and it will assign this task to him/her.

Due In: This field regards the number of days after the trigger is actioned, this task needs to be completed.

Finally, you can personalize the title and the description of the task, describing how this work needs to be done:

And DONE! Now, you can forget about task distribution to your team. See below three uses of this action in three different boards:

Account
When some new card arrives on the column “Waiting for approval,” a task will be created for Sam to input the invoice on the billing system. Another task will be created for “Matter’s Responsible” to contact the client regarding payment dates.

General Workflow
When a card stays more than 15 days in the column “Waiting,” a task will be created to “Matter’s Originating Attorney” to analyze this overspent time with this matter.

Divorce
When a “Draft Agreement” task is completed in a card on the column “Property Settlement Agreement,” another task will be created for one “Card Member” to review this agreement.
